Volunteer Information
EPAC is a volunteer run organization and needs the help of all member families in order to operate successfully. Many volunteer positions are available on the day of meets and throughout the season. If you are interested in learning more about one of these roles, please see a board member or email info@epac.org.
Timers
Timers basically time an event in a lane as back up in case the timing pad does not respond correctly. A timer will start a stopwatch at the start of the race with the “beep” from the starting mechanism and stop it with the touch of the wall. In addition to the stop watch a timer may be responsible for hitting a plunger at the end of the race. This plunger is connected to the computer timing system and provides a secondary back up. A timer may also be responsible for recording the times from the stopwatch from their lane. Important things to remember about timing….it isn’t hard and only in rare cases, does your ability have any effect on the race or the swimmer. Eight to sixteen timers are needed for each meet depending on the pool.
Back up timer
A back up timer stands at the side of the pool and starts the watch with the start of the race. If a lane has a problem with their stopwatch for a particular race, the backup timer will be summoned to that lane to get the finish time for that lane. Two back up timers are required for each meet.
Finish judge
A finish judge records the lane numbers as they finish the race. This serves as another backup to the timing system. Two finish judges are required for each meet.
Runner
The runner collects the records of the finish judges and of the timers in each lane and gives them to the computer table. Two runners are required for each home meet.
Computer operator
Must have a good knowledge of the Hytek Meet Manager Software. This person basically runs the computerized meet. They are responsible for setting up and taking down the computer during meets, sending results to league personnel and creating reports for coaches. Sounds like a lots, but for someone who is familiar with a computer, it really just becomes routine.
Timing system operator
This person is responsible to work directly with the computer operator to run the meet. They must be willing to setup and take down the equipment and be available during the meet to run the timing system. This system is connected to the computer and delivers the times from the timing system to the computer to score the meet.
Scorer
This person is needed during the winter (CPAL) meets to score the meet on a computer and then deliver the results to the league secretary at the finish of the meet.
Team parent
The team parent is in charge of getting kids to the blocks. Team parents are needed for the 8 and under boys and girls groups and the 10 and under boys and girls groups. Team parents receive a hard copy of the event list. In a timely manner they find the swimmers that are scheduled for the next event, bring them to the pool, and let them know their lane numbers. The coaches take it from there. This is a great position for parents who like to stay with their kids and get to know the other swimmers in their swimmer’s age group. At minimum four are needed for each meet. Winter meets may require more due to the greater number of swimmers on the team.
Concession stand
Concession stand members sell goodies and do a little bit of food preparation. Six concession stand volunteers are needed for home meets. Please note…despite not being in the pool area you are encouraged to leave the concession stand to watch your swimmer’s event if you volunteer for this position.
Ribbons
The ribbon volunteer takes print out stickers and pastes them on the back of the appropriate place ribbon. The ribbons are then sorted by team. EPAC ribbons are then sorted by swimmer in marked folders.
Announcer
Announces the events and swimmers for each heat. One or two are need for home meets.
Stroke and Turn Judge
The stroke and turn judge is a trained and certified official who watches the race for stroke or turn violations and records any infractions on the timer sheet. Training and certification are available yearly in the fall. Please contact Liz Groff if you are interested in becoming an official.
Starter/Referee
The starter/Referee is an official with some extra training to be a either a starter/referee or both at a meet. Most starter/referees start out as a stroke and turn judge and advance to the starter position. This person serves as the meet director and is in charge of all questions or concerns during the meet.
Board & Committee Positions
There are a number of Board positions available to EPAC families. This group handles the logistics of running the team, swimmer registration, communicating with the members, handling dues and organizing EPAC events. These positions are voted on by the general EPAC membership each year. The EPAC board meets monthly. Positions include:

In addition to the board positions, a number of other Committee Chair positions exist to help in the organization and running of the team. While many of these positions are held by coaches and long-time EPAC members, participation in many of these area is encouraged. Positions Include:
